Cultural Affairs Assistant - Jakarta


Basic Function of Position
- Under the direction of the @america Program Manager, and in coordination with the Assistant Cultural Affairs Officer for @america, the incumbents assist in creating and overseeing programs at @america – a high tech, 21st century public diplomacy outreach venue that targets Indonesian aged 15-30 and engages them in a new way. This project has high visibility both inside and outside the Embassy. Basic Function of Position
- The job holder reports to the Resident Country Director, one of two U.S. direct-hire positions at post. The basic purpose of this position is to provide technical advice in designated sectors, and guidance to host government officials in implementing Compact projects to ensure successful completion of the program. Duties and responsibilities focus on working with the host country partners, both governmental and non-governmental, and providing technical support in assigned sector(s) to develop, implement and assess the effects of Compact programs to determine impact in reducing poverty.

- The position serves as US Embassy Jakarta’s Voucher Examiner. Medical Secretary - Surabaya


Statement of Work
The Medical Secretary (MS) is a fulltime contracted position with the Peace Corps office in Surabaya. The Medical Secretary is responsible for coordinating the administration and logistics of the Peace Corps Indonesia Medical Unit in full compliance with the Technical Guidelines of Peace Corps and the Office of Medical Services, headquarters – Washington D.C.:


Major Duties and Responsibilities
For the Medical Unit, and under the supervision of the Country Director, the Medical Secretary:


- Maintains and adheres to confidentiality of all Peace Corps Trainees (PCT) & Peace Corps Volunteers’ (PCV) medical records, information, and correspondence (written and oral) of volunteer information relating to health and safety of volunteers.
- Serves as general administrative assistant responsible for the management of administrative matters for the Medical Office
- Answers phone, takes messages, directs inquiries to the Peace Corps Medical Officer (PCMO). Utilizes fax machine, photocopy machine and the Peace Corps computer systems in support of Health Unit.
- Performs routine clerical duties to include (but not limited to): filing, typing official correspondence in English and Bahasa Indonesia.
- Responsible for incoming and outgoing mail – electronic and paper correspondence.
- Maintain and upkeep of PCT and PCV files.
- Maintains up to date written and computerized records for ordering of medical supplies and equipment.
- Assists with inventory management. Maintains stock levels and informs the PCMO when supplies need to be replenished.
- Translates materials from Bahasa Indonesia to English and vice-versa on an as needed and requested basis.
- Makes appointments for medical and dental referrals (under direct supervision of PCMO)
- Assists in the preparation for the medical component for training conferences (Pre Service Training (PST), Mid Service Training (MSC), In service Training (IST), Close of Service (COS)).
- Assists in scheduling of volunteers for annual and COS examinations and appointments with PCMO
- May be requested to schedule medical exams and coordinate logistics during evenings and weekends on an as needed basis and to accompany PCTs and PCVs to these exams.
- Other duties as assigned by the Country Director - within scope of Medical Secretarial skills and expectations


Supervision
- Managerial supervision is exercised by the Country Director. Daily work is coordinated on a routine basis by the PCMO.


Logistics and Level of Effort
- Performs duties at assigned Post during a 40 hour work week. May be asked by PCMO to coordinate logistics for medical emergencies during evenings and weekends on an as-needed basis.


Safety and Security
- Knowledgeable and supportive of Peace Corps safety and security policies and procedures, including the timely reporting of suspicious incidents, persons or articles.


Required Qualifications
- Education: Bachelor degree or Secretarial Qualifications preferred, high school diploma mandatory;
- Experience: Three years of clerical/administrative work experience with excellent computer skills – preferably in a medical and/or international setting;
- Language: Fluency in written and spoken English and Bahasa;
- Other: Flexibility and willingness to work in a dynamic, busy Health Unit
- Desirable Qualifications:
- Education: Coursework at the post-high school level in health, science or nursing
